Terms and Conditions

1. Introduction and Acceptance

These Terms & Conditions govern all visa consultation, documentation support, visa application assistance, VAC/embassy appointment support, travel package, transfer, and international travel support services provided by JADE Travels, a venture of JADE Ventures Limited.

By submitting an inquiry, providing documents, confirming a service, making payment, or using any service of JADE Travels, the Client confirms that he/she has read, understood, and agreed to these Terms & Conditions in full.

For the purpose of these Terms & Conditions, “JADE Travels,” “we,” “our,” or “us” means JADE Travels and/or JADE Ventures Limited. “Client,” “Applicant,” “you,” or “your” means the visa applicant, traveler, sponsor, guardian, authorized representative, payer, or any person using our services.

2. Scope of Services

JADE Travels may provide visa consultation, document checklist preparation, visa form assistance, document review and organization, cover letter or forwarding letter assistance, travel itinerary guidance, VAC/embassy appointment support, submission support, biometric appointment guidance, tour package planning, hotel booking support, airport transfer support, and destination/international partner support.

Actual availability of each service depends on the destination country, visa category, appointment system, embassy/VAC rules, package selected, and third-party partner availability.

JADE Travels provides professional consultation and facilitation support. We do not issue visas and we do not control the decision of any embassy, consulate, immigration authority, VAC, airline, border authority, or government body.

3. No Visa Guarantee

JADE Travels does not guarantee visa approval, visa validity, visa duration, appointment availability, processing time, entry permission, or any particular immigration outcome.

Visa decisions are made solely by the relevant embassy, consulate, immigration authority, visa application center, border authority, or government body. Even a complete and well-prepared file may be refused or delayed.

JADE Travels shall not be liable if a visa is refused, delayed, cancelled, issued for a shorter period, issued with different conditions, or if the traveler is refused boarding or refused entry by an airline or immigration authority.

4. Client Responsibility

The Client is fully responsible for providing true, complete, valid, accurate, and authentic information and documents. The Client must disclose all relevant information including previous visa refusal, deportation, overstay, criminal issue, immigration issue, passport issue, name mismatch, travel restriction, financial concern, employment/business status, marital status, sponsor details, and travel purpose.

The Client must not provide fake, altered, forged, misleading, incomplete, or unlawfully obtained documents. JADE Travels does not support false declarations or dishonest visa practices.

If the Client hides material information, changes the case history after confirmation, delays document submission, provides false documents, or fails to follow instructions, JADE Travels may suspend or discontinue service without refund.

5. Legal Capacity and Minor Applicants

The Client must be legally capable of entering into a service agreement. For minors, the parent, legal guardian, or authorized representative shall accept these Terms & Conditions and remain responsible for documents, payments, consent, and communication.

JADE Travels may request written authorization, guardianship proof, sponsor confirmation, or other supporting documents where a representative acts on behalf of an applicant.

6. Service Fees and Payment Terms

Service fees are 100% advance payable with documents. Unless otherwise confirmed in writing by JADE Travels, service work will begin only after required documents and full service payment are received.

JADE Travels service fees cover professional consultation, case assessment, documentation support, application support, appointment/submission facilitation, travel support, and related advisory work as applicable to the selected service.

Unless specifically included in a written package quotation, JADE Travels service fees do not include embassy fees, consulate fees, VAC/VFS/BLS/TLS fees, courier fees, translation fees, notary fees, attestation/legalization fees, insurance, medical tests, police clearance, bank charges, tax document charges, flight tickets, hotel bookings, tour operator charges, transfer charges, entrance tickets, printing, photocopy, photography, stationery, or any other third-party/government fee.

7. Third-Party and Government Fees

All third-party, partner, supplier, embassy, government, and visa center charges are payable separately by the Client unless clearly included in a written invoice or package confirmation from JADE Travels.

Any refund, cancellation, rescheduling, change, penalty, or non-refundable condition related to third-party fees shall be governed by that third party’s own policy. JADE Travels shall not be responsible for refunding third-party payments unless the refundable amount is actually received back by JADE Travels.

8. Document Preparation and Delivery

JADE Travels may provide printed documents, soft copies, or both as required by the case, selected package, embassy/VAC process, and operational convenience.

JADE Travels may provide document checklists, completed application forms, cover letters, forwarding letters, itineraries, appointment confirmations, booking confirmations, and other visa/travel-related documents where applicable.

Internal templates, editable formats, working files, consultant notes, internal checklists, and proprietary document structures are not required to be shared with the Client unless JADE Travels chooses to do so.

9. Appointment, Submission, and VAC Support

JADE Travels may assist with appointment booking, VAC/embassy submission guidance, biometric appointment guidance, and document submission support where such services are available and permitted.

Appointment dates depend on embassy/VAC systems and may be unavailable, delayed, changed, or cancelled by the relevant authority. JADE Travels does not guarantee appointment availability or a specific submission date.

The Client must attend appointments, provide biometrics, sign forms, answer embassy/VAC questions, and submit original documents wherever required. Failure to attend or comply may result in delay, cancellation, refusal, or additional cost.

10. Tour Packages, Transfers, and International Support

Where the Client purchases a tour package, hotel, transfer, guide, attraction, or destination support service, the service will also be subject to the terms of the relevant airline, hotel, transport provider, tour operator, destination partner, insurance provider, and other suppliers.

JADE Travels will use reasonable effort to coordinate the package and provide international support through its team or partners. However, destination services may be affected by weather, traffic, local rules, supplier issues, safety restrictions, public holidays, political events, or force majeure circumstances.

Any change, cancellation, no-show, upgrade, downgrade, or rescheduling of tour services may result in additional charges or non-refundable penalties as per supplier policy.

11. Travel Booking Risk

Clients are advised not to purchase non-refundable flight tickets, hotels, tours, or other arrangements before visa approval unless required by the visa process or unless the Client voluntarily accepts the risk.

JADE Travels shall not be liable for financial loss due to visa refusal, visa delay, short-validity visa, appointment delay, airline schedule change, hotel cancellation, immigration refusal, border entry refusal, or client-selected travel risk.

12. Processing Time and Delays

JADE Travels aims to process client files efficiently, but does not guarantee any fixed delivery date, visa decision date, appointment date, submission date, passport return date, or embassy response time.

Processing may be delayed by embassy workload, visa center appointment systems, additional document requests, background checks, public holidays, courier delays, client delay, technical issues, payment delays, rule changes, or other circumstances outside JADE Travels’ control.

13. Communication and Confirmation

JADE Travels may communicate through phone, WhatsApp, email, SMS, website forms, social media inbox, or in-person meetings. The Client must provide accurate contact information and respond promptly.

Any approval, instruction, document confirmation, payment confirmation, or service confirmation given by the Client through WhatsApp, email, SMS, website form, or other written electronic communication may be treated as valid confirmation.

14. Data Privacy and Consent

The Client authorizes JADE Travels to collect, store, use, process, transmit, and share client information and documents for visa consultation, application support, travel services, package coordination, record keeping, compliance, dispute handling, and related purposes.

Client data may be shared with embassies, consulates, VACs, immigration authorities, airlines, hotels, tour operators, destination partners, insurance providers, courier companies, translators, notaries, legal/compliance advisors, payment providers, and government/law enforcement authorities where required.

15. Refusal to Handle a Case

JADE Travels reserves the right to refuse, suspend, or discontinue any case if we suspect false documents, misleading information, illegal purpose, abusive behavior, non-payment, non-cooperation, conflict of interest, high-risk profile, or violation of these Terms & Conditions

If the service has already started, the service fee may remain non-refundable for work already performed.

16. Limitation of Liability

To the fullest extent permitted by law, JADE Travels shall not be liable for indirect, incidental, consequential, financial, reputational, business, travel, or personal loss arising from visa refusal, delay, cancellation, thirdparty failure, airline issue, immigration issue, client error, supplier policy, or force majeure event.

If liability is legally established, the maximum liability of JADE Travels shall not exceed the service fee actually paid to JADE Travels for the specific service giving rise to the claim, excludingthird-party/government fees.

17. Force Majeure

JADE Travels shall not be responsible for delay or failure caused by events beyond reasonable control, including embassy closure, system outage, government restrictions, war, political unrest, natural disaster, pandemic, strike, transport disruption, cyber incident, internet failure, supplier failure, public holiday, or emergency situation.

18. Complaints Handling

If the Client has any complaint or concern, the Client should contact JADE Travels through official email or WhatsApp with name, contact details, destination country, service type, payment reference, issue description, and supporting evidence.

JADE Travels will review complaints in good faith and respond within a reasonable time.

19. Governing Law and Jurisdiction

These Terms & Conditions shall be governed by the laws of Bangladesh. Any dispute arising from or relating to these Terms & Conditions or JADE Travels services shall be subject to the jurisdiction of the competent courts of Bangladesh, unless otherwise agreed in writing.
